Manage a credit voucher
Learn how to find a credit voucher, check its balance, change the expiry date, add or remove credit and refund it from your Dashboard.
Once a customer has a credit voucher, you can look after it from your Dashboard. You can check the balance, send the voucher again, change the expiry date, add or remove credit and see exactly what it's been used on.
Find a credit voucher
Go to Sales -> Credit vouchers. Vouchers are grouped into Active, Used and Expired tabs, and the top of the page shows the total value of unclaimed vouchers. You can also find a voucher by searching for the customer using the search at the top of your Dashboard.
Click a voucher to see:
- The voucher code, original value and remaining balance
- The expiry date
- Who bought it, or 'Manually added' if your team issued it
- Under 'Previously used on', each booking the voucher has been used against
Send the voucher again
If a customer has lost their voucher, click it and select 'Print PDF'. You can then print it or email it to them.
Change the expiry date
Click Edit Expiration Date, choose a new date and save. This is a quick way to give a customer more time to use their credit.
Remove credit
Enter the amount under the remaining balance and click Deduct Funds. You might do this if the customer spends some of their credit on something you sell outside eola, such as food or merchandise.
Add credit
To add credit to a voucher, enter the amount with a minus sign in front, for example -20.00, and click Deduct Funds. The amount is added to the remaining balance.
This is also handy if a customer has more than one voucher. Customers can use one credit voucher per booking, so you can move the balance from one voucher onto another by removing it from the first and adding it to the second.
Refund the remaining balance
If the customer paid for their voucher by card, click Refund to return the remaining value to that card. If you don't see a Refund button, contact our team at help@eola.co and we'll be happy to help.
Use a voucher at your desk
If a customer would like to use their voucher in person, click Deduct Funds for the amount of the booking, then make the booking through New booking as normal with the price set to £0. Adding a note to the booking helps your team see how it was paid.
Good to know
- Vouchers move to the Used tab once the balance reaches £0, and to the Expired tab once they pass their expiry date
- If a booking paid with a credit voucher is cancelled and refunded, the customer receives a new credit voucher
Helpful tips:
- Add a note to the booking whenever you change a voucher's balance, so your team always has a clear record
- Extending an expiry date is often all a customer needs to come back and book
- Check 'Previously used on' first if a customer queries their balance
