Understand the ways to control who can book your activities

Find out the different ways you can control who books your activities, from approvals and members-only sessions to hidden activities shared by direct link.

Not every activity is for everyone. You might run advanced courses that need a certain skill level, sessions just for your members, or private sessions for a club or group. eola gives you a few simple ways to decide who can book, so the right customers find the right sessions.

This guide explains each option so you can choose the one that suits your activity. You can also combine them.

Only approved customers can book

Approvals let you restrict an activity to customers your team has approved, for example people who hold a qualification or have already completed a beginner course. Customers request the approval they need when they book, and your team approves them. This works well for course progressions, as instructors can approve customers straight after a session.

Only people with the link can book

Hiding an activity from the public removes it from your widget, but customers can still book it through its direct link. This is ideal for private sessions you want to share with one group, or for activities you're still setting up.

Only your members can book

Making an activity members-only means only customers with a membership can book it. Members sign in to their eola account to book, and members-only sessions stay reserved for members, including bookings made by your team. If you'd like a group, such as a club or school, to have its own members-only sessions, our team can help you set it up.

Activities for adults only

For activities that are only suitable for adults, open the activity's Details and, under Booking setup, set 'Who can take part?' to 'Adults only'. Make the age requirement clear in your activity description too, so customers know before they book.

Private sessions with one booking per time

If you'd like each session to be booked by one party only, open the activity's Details and, under Booking setup, choose Private. Once someone has booked, that time is no longer shown to other customers.

Helpful tips:

  • Explain any requirement in your activity description so customers know what they need before they try to book
  • Use approvals for skill levels and memberships for ongoing access to regular sessions
  • Open your widget in a private browser window to check what the public can see
  • If you're not sure which option fits, contact our team at help@eola.co and we'll be happy to talk it through
