Understand the Store items report
Find out how to use the Store items report to see every store item you've sold, who bought it and how much they paid.
The Store items report shows every store item you've sold, such as drinks, snacks, merchandise or deposits, so you can keep track of your extra sales.
To open it, go to Reports -> Store items.
What each column shows
- Item name: the store item
- Quantity: how many were bought
- Price per item: the price of one item
- Total Price paid: the total the customer paid
- Purchase Date: when it was bought
- Customer: who bought it
To see sales of a particular item, select Filter, tick the item and click Apply.
Refund a store item
You can refund a store item straight from this report, back to the customer's card.
- Go to Reports -> Store items
- Tick the box next to the sale you want to refund. You can refund one sale at a time
- Click Refund at the top of the report
- Check the Amount to refund. It's filled in with the full price paid, so change it if you're only refunding part of the sale
- Click Apply
You'll see a 'Refund completed' message once it's done.
Refund part of a sale
Partial refunds are made by amount rather than quantity. For example, to refund 1 of 3 coffees, change the Amount to refund to the price of one coffee. You can refund the same sale again later, up to the amount that was originally paid.
What happens after a refund?
- Your customer: if a customer is attached to the sale, they'll get an email confirming the refund, with the amount and the item. Walk-up sales at the desk with no customer details don't send an email
- The purchase: select the arrow at the end of the row to open the purchase. The refund is listed in its Refunds section with the date, the item, 'Refunded to: Card' and the amount
- Your payouts: the refund shows as a Refund row and is taken off your payout. You may also see a separate Refund Charge row for the refund fee. This is a share of the original fees in proportion to the refund, and it's only charged when it comes to 30p or more
Important: the Store items report always shows the original price paid, so the row looks the same after a refund. To check a refund has gone through, open the purchase and look in its Refunds section rather than refunding again.
Good to know
- Refunds from this report always go back to the customer's card
- Sales taken in cash, or paid another way outside eola, can't be refunded from here. Refund these the same way they were paid, for example in cash at the desk
Helpful tips:
- Before refunding, check the purchase's Refunds section so the same sale isn't refunded twice
- Filter by a single item to see how well it's selling
- Download the report at the end of each month to keep track of your store sales
- Popular items can be offered as add-ons with your bookings
