Block calendar availability
Learn how to block out activity availability in the eola calendar, preventing new bookings for a set period in the day without affecting existing customer bookings.
Sometimes things are outside your control... bad weather, poorly instructors or other changes to your plans that can mean you need to stop customers from making new bookings.
eola makes it easy to quickly block out all unbooked activity slots for a specific period in a day, without affecting bookings that have already been made.
If you offer rentals, you'll need to disable these separately via resources. See our guide on blocking resources here.
To disable bookings for a specific day:
- Go to Calendar
- Select the day you need to disable
- Double-click on the calendar, or click Add note in the bottom-right corner
- Select Disable
- Confirm the start and end times you want to block
- Click Disable time slots
This will prevent customers from making new bookings for any unbooked activity slots within the selected time period.
What happens to existing bookings?
Blocking time slots will not affect bookings that have already been made. Existing customers will remain booked and your team will still be able to see their bookings in the calendar.
If circumstances improve later in the day, you can return to individual activities and manually enable their availability again.
Helpful tips:- Use this feature whenever you need to quickly stop new activity bookings without cancelling existing customers
- Check your calendar after disabling time slots to make sure the correct period has been blocked
- Remember that this feature only affects unbooked activity slots. Existing bookings are not automatically cancelled or changed
- If you're closing because of weather or another operational issue, remember to consider your existing customers separately and contact them if their booking can no longer go ahead
- Offering rentals too? Remember to follow the separate guide for disabling rental availability via resources
