Understand how membership wallet passes work

Find out what membership wallet passes are, what they show and how they help your team welcome members at the front desk.

A wallet pass is a digital membership card your members keep on their phone, in Apple Wallet on an iPhone or Google Wallet on an Android phone. It shows who they are, which membership they hold and a QR code your team can scan when they arrive.

It carries the same QR code your members already have on their membership page in their eola account, so nothing changes behind the scenes. It now lives on their phone, alongside their bank cards, ready to show at your front desk.

What can I use wallet passes for?

  • Membership cards without the printing: Every member gets a pass, so there's no need to print, laminate or post membership cards, or replace lost ones
  • Quicker arrivals: Members show the QR code and your team scan it. The scanner shows the member's name, their membership and whether it's active, with no searching through customer lists
  • Spotting lapsed memberships: A scan always shows the membership's status today. If a payment is overdue, or the membership is paused or cancelled, it's flagged as not currently active, even though the pass is still on the phone
  • Families: Every member has their own pass, children included. A parent can add their children's passes to their own phone and show the right one for each child

Do I need to turn anything on?

No. Every member gets a wallet pass automatically. If you'd like to scan passes at your front desk, you'll need the Check-in app, which you can add from Toolset -> Apps.

Your passes are branded to match your business:

  • Colour: Passes use the booking button colour from your widget settings (Toolset -> Widget -> Widget settings). The text switches between white and black automatically so it's always easy to read
  • Logo: Google Wallet passes show your business logo, if you've added one in Toolset -> Centre Settings. Apple Wallet passes show your business name

What does the pass show?

The front of the pass shows your business name, the member's name, their membership and the QR code. Apple Wallet passes also show the price.

Members can tap the ⓘ button on an Apple Wallet pass, or tap the card in Google Wallet, to see the full details:

  • Member: The member's name
  • Membership and Plan: The membership and the price plan they're on
  • Price: For example, £10.00/month
  • Started and Type: The start date, and whether it's Recurring or Fixed length
  • Renews or Ends: How often it renews (for example, Every month), or the end date of a fixed-length membership
  • Commitment ends: Only shown while a member is within a minimum term

What wallet passes are designed for

A wallet pass is a membership card to show at your front desk. Scanning it shows the membership without checking the member in or logging a visit, as each booking has its own check-in QR code. Member discounts and benefits are applied when members book online or when you sell to them, and payments are taken in the usual way.

Important: As with any QR code, a screenshot can be shown in place of the pass, so check the name on screen (and the member's photo, if you hold one) against the person in front of you.

When a membership changes

The pass on a member's phone shows the details from the day they added it. The QR code always looks up the membership as it is today, so the scanner is your source of truth.

  • Plan or price changes: The member can add the pass again from the membership page in their eola account to get an up-to-date version
  • Paused, overdue or cancelled: The pass stays on the phone, but scanning it shows the membership as not currently active
  • Fixed-length memberships: The pass carries the end date, and the wallet app marks it as expired once that date has passed

Helpful tips:

  • Let members know about wallet passes in your welcome messages and at your front desk, so they arrive with their pass ready
