# Take an activity booking

## Learn how to take a booking yourself in eola, from choosing the activity and timeslot to adding the organiser's details and taking payment.

Most of your bookings will come through your eola widget automatically, but sometimes you'll want to take a booking yourself. Perhaps you've got a walk-in customer, someone is booking over the phone, or you're arranging a unique booking that doesn't fit your usual online flow.

Whatever the reason, taking the booking in eola keeps your calendar, availability and customer information up to date in one place.

**Start a booking**

You can start a booking from anywhere in eola by clicking New Booking at the top of the page. New Booking asks you to choose what the customer wants to book, then shows you the available dates and times.

If you're already looking at the right date and time in your calendar, click the timeslot and select Add booking. This creates the booking against that specific session.

**Add the booking details**

1. **Select the date:** choose the date the activity is taking place
2. **Select the product:** choose the activity the customer wants to book, or use the search option. Availability indicators show whether there is space on the selected date
3. **Choose participants:** enter the number of adults and children attending, or the amount of equipment required for a rental
4. **Choose a timeslot:** select the time the customer wants to attend
5. **Customise the price:** override the standard price if you need to apply a manual discount or agree a different price for a unique booking
6. **Confirm whether the organiser is participating:** if the organiser is coming along, they take up one of the places on the booking. If they're booking on behalf of other people (for example a parent, teacher or company contact) and aren't taking part themselves, mark them as not participating. They'll still receive the booking confirmation and any payment request, and every place stays free for the people who are actually going, who can then be invited to complete their own disclaimers and question packs. This can't be changed once the booking is made, so double-check your selection
7. **Add a booking note:** add anything your team needs to know. Booking notes are internal and aren't visible to the customer
8. **Add any extras:** select any add-ons for the booking
9. Click Add to basket

If the customer is booking more than one activity, click Add more and repeat the steps before moving on.

**Add the organiser's details**

Once everything is in the basket, enter the organiser's name, email address and contact number. It's worth double-checking these, particularly the email address, as this is where their booking information will be sent.

**Choose how the customer will pay**

- **Pay in person:** use this when you've already taken payment from the customer, in person or another way. The booking is added without requesting further payment
- **Payment link:** ideal for phone bookings. Tick 'Send via sms too' to text the link as well. The customer receives a link to pay and complete any disclaimer or question pack themselves
- **Use card reader:** if you have an eola card reader, take payment there and then, while still giving the customer the full eola booking experience, including disclaimers and question packs
- **Create an invoice:** for larger groups or corporate bookings. You can add a purchase order number, due date and invoice memo

**Complete the booking**

Click Complete to add the booking to eola. It will appear in your calendar straight away, and your availability will update to match.

**Helpful tips:**

- Always check whether the organiser is participating before you complete the booking, as this can't be changed afterwards
- Use booking notes to record special arrangements or anything agreed with the customer
- Booking from the calendar with Add booking saves you a few steps when you already know the session
- Use the price override to reflect a price you've agreed for a unique booking
- Taking every booking through eola keeps your availability accurate and helps prevent accidental overbooking
