Take a booking for a walk-in customer

Learn how to book in a customer who turns up on the day, take their payment and get them on the calendar in a few clicks.

When a customer turns up and asks to join a session, you can book them in from your Dashboard in a couple of minutes. Taking walk-ins through eola keeps your calendar and availability accurate, so you never double-book a space you've already sold.

Book in a walk-in customer

If you already have the session open in your calendar, click the timeslot and select 'Add booking'. Otherwise, click New Booking at the top of any page.

  1. Select today's date and the activity the customer would like to do
  2. Enter the number of adults and children
  3. Choose the session that's about to start, or the next one they can join
  4. Adjust the price if you've agreed something different on the day
  5. Click Add to basket
  6. Enter the organiser's name, email address and contact number
  7. Choose how they'd like to pay, then click Complete

The booking appears on your calendar straight away and your availability updates to match.

Choosing how they pay

  • Use card reader: the quickest option at the desk. The customer pays by card and can still complete your disclaimer and question pack as part of their booking
  • Payment link: handy if they'd rather pay on their phone. Tick 'Send via sms too' to text them the link
  • Pay in person: use this if you've already taken payment another way, such as cash

Booking close to the start time

Your minimum notice period only applies to bookings made through your widget, so you can book a customer in from your Dashboard right up until the session starts.

When the session is full

When you choose the date, availability indicators show whether there's space, so you can see straight away if there's room for your walk-in. If the session they'd like is full, offer them the next available time.

Helpful tips:

  • Double-check the customer's email address, as their confirmation is sent there
  • If you need a signed disclaimer before they take part, use the card reader or a payment link so they can sign as part of booking
  • Add a booking note for anything your instructors need to know. Notes are internal and not shown to the customer
  • Get the essentials down first if there's a queue. You can edit the booking later to add more details
