Sell a membership at the desk

Learn how to sell a membership to a customer at your desk, take payment by cash, card reader or card on file, and complete their details.

You can now sell memberships straight from your eola dashboard, so customers who visit your centre can join there and then. It's a quick way to turn a visit into a membership, and everything sits alongside your existing bookings and reporting in eola.

Before you start: make sure the Memberships app is turned on. To do this, go to Toolset -> Apps -> Memberships and click Enable. You'll also need the membership set up with its price plan, and the right Question Pack and Terms & Conditions attached. Our guides to create a membership and create a membership price plan will walk you through it.

Sell a membership at the desk

To sell a membership, go to New Booking (available in the top right corner of every page within eola)

  1. Select the membership your customer would like to join
  2. Add it to the basket
  3. If the membership has a sign-up fee, choose whether to charge it or tick the box to waive it
  4. Choose how your customer would like to pay: 'Cash', 'Card reader' or 'Card on file'
  5. Take the payment to complete the purchase

Choosing how your customer pays

Card reader: Your customer pays on your card reader and their card is saved securely for future membership payments. For your customer, it's one simple transaction.

Card on file: If your customer already has a card saved, eola charges that card for the membership. You should ask their permission to do this first.

Cash: Cash covers the first payment of the membership. For an annual membership, that's the full year. When it's approaching time to renew, we'll ask your customer to add their card details so their membership carries on smoothly.

Complete your customer's details

Once payment is taken, your customer's Question Pack and Terms & Conditions can be completed in one of two ways:

  • Your customer completes them: A few minutes after purchase, we'll email your customer a reminder to complete these from their account. This is usually the easiest option, as they can fill in their own details
  • You complete them at the desk: After checkout, choose to go to post-checkout rather than take another booking. From there you can complete the Terms & Conditions and Question Pack with your customer

Good to know

  • A cash payment covers one billing period at a time. For a monthly membership, cash pays for the first month and future payments are taken by card
  • We only ask a cash-paying customer for their card details close to the renewal date, so there's no risk of their card expiring in the meantime
  • The sign-up fee option only appears if the membership has a sign-up fee set up

Helpful tips:

  • For monthly memberships, the card reader is the smoothest option, as future payments are then taken automatically
  • Agree as a team when to waive the sign-up fee, so it's applied consistently at the desk
  • Let your customer know to look out for our email so their membership details are complete before their first visit
  • If you have any questions, contact our team at help@eola.co and we'll be happy to help
