Scan a member's wallet pass
Learn how to scan a member's wallet pass at your front desk to see who they are and whether their membership is active.
When a member arrives, they can show the wallet pass on their phone and your team can scan it to see who they are and whether their membership is active. It's quicker than searching through customer lists, and it works with the same scanner you use for check-in.
Before you start
To scan passes with the check-in scanner, you'll need the Check-in app. To add it, go to Toolset -> Apps, select 'Check-in' and select 'Add to eola'.
Scan a wallet pass
- Open the check-in scanner. On a computer, select Check-in at the top of your Dashboard
- Scan the QR code on the member's pass with a handheld QR scanner, or hold it up to your computer or tablet camera
- Check the screen, which shows Membership card, the member's name, their membership and its status
- Click through to the member's membership page if you need more detail
What does the status mean?
- Green banner: The membership is active, or in its trial
- Amber banner: You'll see 'This membership is not currently active'. The membership is overdue, paused or cancelled
If a pass is from a different business, you'll see 'This code belongs to another centre'.
Scan with your phone
You can also scan a pass with your phone's camera while you're logged in to eola. It opens the member's membership page.
Important: Scanning a wallet pass shows the membership. It doesn't check the member in to a session or record a visit. If a member has booked a session, scan the QR code in their booking confirmation email to check them in.
Good to know
- The scanner always shows the membership as it is today, so trust what's on screen over the details on the pass
- A screenshot of a QR code can be shown in place of the pass, so check the name on screen (and the member's photo, if you hold one) against the person in front of you
- Member discounts and benefits are applied when the member books online or when you sell to them, not when you scan their pass
Helpful tips:
- A handheld scanner at the front desk keeps things moving at busy times
- If a pass shows as not currently active, open the membership to see why before chatting to the member
- If a payment is overdue, members can update their card details from their eola account
