My calendar is showing duplicate sessions

Find out why sessions or calendar notes might appear more than once on your calendar, and what to do to tidy them up.

If the same session appears more than once on your calendar, it's usually down to how the schedule has been set up. Here are the most common reasons and how to tidy things up.

A new schedule row was added each week

Each row on your activity's schedule can repeat on its own. If a new weekly row is added each week, rather than one row that repeats, the rows stack up and the same session appears several times.

To fix this, go to Products -> Activities, select 'Edit' on the activity and open the 'Schedule' tab. Keep one row that repeats weekly, with an end date if the sessions finish, remove the extra rows and click 'Save and exit'.

Sessions that already have bookings stay on your calendar. Reschedule those customers onto the remaining session, then select 'Disable further bookings' on the duplicate.

The activity used to run over more than one day

If an activity was set up as multi-day and later changed, the original dates can stay on the calendar, especially if they had bookings. Move any bookings to the right session, then disable the remaining dates. To disable a whole day, double-click it on the calendar, select 'Disable' and click Disable time slots.

A repeating calendar note

A repeating note is one shared note, so editing one occurrence updates them all. If you'd like separate notes, create them individually. If a repeating note needs ending or removing, contact our team at help@eola.co and we'll clear it for you.

What should I check?

  1. Open the activity's schedule and look for more than one row with the same day and time
  2. Check whether any duplicate sessions have bookings before you change the schedule
  3. Check your calendar filters, such as Hide unbooked, as a filter can make some sessions or bookings look missing
  4. Refresh the page after making changes

If your calendar still doesn't look right, contact our team at help@eola.co with the activity name and dates and we'll be happy to help.

Helpful tips:

  • Use one repeating row per day and start time, and set an end date when you know the last session
  • To stop a schedule, change its end date to the day after the final session
  • If a customer has booked twice, cancel the extra booking from the session's 'Manage' page so the spaces are freed up
