View your calendar

Learn how to use your eola calendar to manage bookings, instructors, resources, rentals and daily operations with flexible views, filters and tools.

Your eola calendar will quickly become the hub of your day-to-day operations. It's where you and your team can see what's happening, manage bookings and keep everyone on the same page (literally!).

From checking upcoming bookings and creating new ones, to rescheduling customers, adding extra sessions and leaving notes for your team, the calendar brings everything together in one place.

Because your calendar will become something you use every day, we've made it easy to access. You can open it by clicking Calendar in the top-right corner of any page, or by selecting Calendar from the dashboard menu on the left-hand side.

When you open the calendar, eola will remember the last view and date range you had loaded. This is particularly useful when you're looking for a specific booking or checking availability to move a customer. If you need to return to today's date, simply click the Today button in the top-left corner.

Calendar views

There are several calendar views available, allowing you to see your operation in the way that works best for you. Each view can be displayed by day, week, month or as a timeline.

Some views become available when additional apps are enabled, giving you even more visibility over your instructors, resources and rentals.

Overview: The Overview view shows everything happening during your selected date range, including booked and unbooked activities, rental bookings, accommodation and calendar notes. If your calendar is looking busy, you can choose to hide unbooked activities to make it easier to focus on what is already booked.

Instructors: The Instructors view displays your team across the calendar and shows the sessions they have been assigned to. This is particularly useful when managing instructor availability, for example when running surfing, skiing or other activities where specific team members are required. This view is not available in monthly mode. It will only show bookings where an instructor has been assigned, so if a booking doesn't have an instructor allocated it won't appear here.

Activities: The Activities view displays your activities across the calendar and shows how many bookings have been made against each available slot. For example, you can quickly see whether a session is empty, partially booked or at capacity. This view is not available in monthly mode.

Resources: The Resources view helps you understand where specific resources are being used and when they are next available. Resources could include equipment, spaces or other capacity limits. This view displays your resources across the calendar and shows the sessions they have been assigned to. The Resources view requires the Resources app to be enabled and is not available in monthly mode.

Rentals: The Rentals view provides an overview of your equipment hire bookings. It will also show where specific equipment is being used, including any activities it has been assigned to. The Rentals view requires the Rentals app to be enabled and is not available in monthly mode.

Accommodation: The Accommodation view gives you an overview of your available accommodation spaces, showing both booked and unbooked availability across your selected date range. This is useful for quickly seeing occupancy levels, checking availability and understanding where you have spaces still available for customers to book. The Accommodation view is not available in monthly mode and requires the Accommodation app to be enabled.

Understanding the calendar

We've designed the calendar to give you the information you need at a glance, without overwhelming you. If you need more detail, simply click into a specific time slot.

If you're ever unsure what the colours or shading mean, click the ? icon next to Overview. This will show you a key explaining the different calendar elements.

Using filters

During busy periods, filters can help you focus on exactly what you need to see. You'll find filtering options on the right-hand side of the calendar.

Product type: Filter by the type of product, allowing you to group similar activities, accommodation or rentals together. 

Product: Choose a specific product to only display those bookings. This is the deal filter to ensure your schedule for a product is how you expected it. 

Activity type: Filter by the type of activity. For example, you may want to view all kayaking sessions at the same time.

Resource: View a specific resource rather than all resources across your calendar.

Instructor: Filter by an individual instructor. This is useful for checking where a team member is scheduled or helping instructors view their own workload.

Hide unbooked: Remove available but unbooked sessions from your view. This can be helpful when your calendar becomes busy and you want to focus only on confirmed bookings.

Expand view horizontally: On desktop, this allows the calendar to stretch across your screen with a horizontal scroll bar, giving you more space to view your schedule. On mobile, switching this off can make weekly views easier to navigate.

Clear filters: If you have filters applied and can't find what you're looking for, click Clear in the bottom-left corner of the filter menu to return to your full calendar view. 

Helpful tips:

  • Encourage your team to use the calendar as their main source of information to keep everyone working from the same source

  • If you can't find something in your calendar, check your filters first. The Clear button is your best friend! 

  • Spend some time exploring the different calendar views and find the one that best suits how your centre operates, or simply how you like to work 

  • Remember, the calendar is designed to support your whole team; from office staff managing bookings to instructors checking what they need to deliver on the day
