Block resources

Learn how to block resources in the eola calendar, making equipment or capacity unavailable for a set period to manage repairs, private bookings or changing availability.

Sometimes you need to make equipment or other resources temporarily unavailable. Perhaps something has been damaged, is being serviced, or you need to reserve equipment for a large booking. Maybe you just do not have operational capacity to offer rentals for a particular timeframe. 

You can use a calendar note to quickly block out resources for a specific period. Once assigned to the note, those resources won't be available for customers to book during that time, both for rentals and activities.

To make resources unavailable:

  1. Go to Calendar and select the relevant day.
  2. Double-click on the calendar, or click Add note in the bottom-left corner.
  3. Give the note a name and set the date and time. The note needs to cover the full duration of the activities or rentals you want the resources to be unavailable for.
  4. Click More Options.
  5. From the dropdown menu, select the resource you want to block and choose how many of that resource you want to assign to the note. Select all available to stop further booking availability. 
  6. Repeat this for any additional resources you need to block.
  7. Click Save note.

Your selected resources will now be unavailable during the time covered by the note.

Helpful tips:

  • Give your note a clear name, such as Equipment repair or No rentals today, so your team knows why the resources have been blocked
  • Make sure the note covers the full period that the resources need to be unavailable
  • You can block only some of your available resources, rather than taking all of them out of use if helpful 
  • If you're blocking resources because of damaged or unsafe equipment, make sure your team is aware of the issue before the equipment becomes available again
