# Keep on top of unpaid and overdue invoices

## Find out how a quick weekly check of your open invoices keeps payments coming in and your reports accurate.

Invoices are often for your biggest bookings, so it's worth a quick weekly check to make sure every one gets paid. It only takes a few minutes and keeps your Invoices report showing exactly what's owed.

**Your weekly check**

1. Go to Reports -\> Invoices
2. Select Filter, tick 'Open' and click Apply
3. Work through the list, starting with the oldest

**What to do with each open invoice**

- **Your customer has paid you another way:** open the session, select 'Manage' and then 'Mark as paid'
- **Your customer says they've paid through the invoice:** see [A customer has paid an invoice but it still shows as open](https://help.eola.co/a-customer-has-paid-an-invoice-but-it-still-shows-as-open?hsLang=en)
- **The booking is no longer going ahead:** cancel it so the invoice is voided
- **You're still waiting for payment:** resend the invoice from Manage -\> Comms -\> 'Resend invoice' and give your customer a friendly nudge

**Why it matters**

Open invoices that have been paid elsewhere, or that are no longer needed, make your outstanding total look higher than it really is and can mean customers are chased when they don't need to be. A tidy list means you can see at a glance who still needs to pay.

**Bank transfers on overdue invoices**

Once an invoice is past its due date, a bank transfer may not be matched to it automatically, even with the right reference. If a customer tells you they've paid an overdue invoice by bank transfer, email our team at [**help@eola.co**](mailto:help@eola.co) with the invoice number and the date and amount of the payment, and we'll match it for you.

**Good to know**

- Your customer can still pay online after the due date
- Resending the invoice a week or so before the due date makes a handy, friendly reminder, especially for school and council finance teams
- When an invoice is paid, your team gets a notification in eola, so there's no need to keep checking individual bookings

**Helpful tips:**

- Set due dates that give your customer's finance team enough time to pay before the session
- Add the PO number column before downloading your Invoices report for your finance team
- For smaller amounts, a payment link can be a quicker way to get paid
